1. Who we are

VOXTRACT ("we") operates the invoice data extraction platform available on this site. This page is maintained by the owner of VOXTRACT to answer common privacy and data handling questions.

2. Personal data we collect

We collect only what is needed to deliver the service:

• Account information: full name, email address and an encrypted password.
• Uploaded documents: invoices in PDF, JPG or PNG format and the data extracted from them (invoice number, date, supplier, tax ID, subtotal, VAT and total).
• Payment information: credit packages purchased, amount, currency, status and transaction identifiers.
• Technical data: approximate IP address, detected country, device type and browser.
• Usage data: pages visited, in-app actions and processing events.

3. Account information

Your account is created with an email and password. Passwords are stored encrypted and are never visible to us. You can update your name and credentials from Account settings.

4. Uploaded invoices

Files you upload are stored in a private space tied only to your user. Access is enforced with row level security policies, so no other user can read your documents.

We use your documents solely to run the extraction you request, show you the result and generate your Excel files. We do not sell, publish or share your invoices with third parties for commercial purposes.

5. Payment information

Payments are processed through Mercado Pago. VOXTRACT does not store card numbers or banking credentials: that information is collected and handled directly by the payment provider under its own policies.

We only keep a transaction record (package, amount, status, date and identifier) for billing, support and credit allocation.

6. Cookies

We use cookies and local storage to keep your session active, remember your language and theme, and measure platform usage. You can manage your preferences at any time from the cookie banner or the Cookie Policy.

7. Analytics

We use product analytics to understand how VOXTRACT is used and improve the service. These events are aggregated and never include the content of your invoices.

8. AI processing

VOXTRACT uses artificial intelligence to extract information from uploaded documents.

Uploaded files may be processed by third-party AI providers solely for extraction purposes. These providers act as data processors and do not use your documents for advertising.

AI-generated results may contain errors and should be reviewed before accounting or financial use.

9. Data retention

We keep your documents and extractions while your account remains active so you can access them in your history. Payment records are retained for as long as tax and accounting regulations require.

You can delete individual documents from your history or request full account deletion by contacting us.

10. Your rights

Depending on your jurisdiction, you may:

• Access, update and correct your personal data.
• Request proof of the consent you provided.
• Be informed about how we use your data.
• Withdraw consent and/or request deletion of your data.
• Obtain a copy of your personal data free of charge.
• File a complaint with the competent data protection authority.

11. Security

We apply encryption in transit, per-user data isolation and role-based access control. No system is completely infallible, so we continuously work on improving our controls.
